Who we are
mCm Design London LTD is responsible for information used to handle requests for the free initial SEO and AI search visibility review. You can contact us at info@mcmdesignlondon.co.uk. We are based in Bingham, Nottinghamshire, United Kingdom.
This notice covers the agency audit-request form and its associated handling and follow-up. It does not cover general website cookies, and it does not cover separate AEO Pulse Labs product accounts or subscriptions.
Information we use
When you submit an audit request we use: your name, work email address, the public website URL you ask us to review, and an optional note of what you would like to improve. We also record the submission time and source, internal status and handler, internal notes, recommendations and review date, related correspondence, and the internal notification status.
Public website data may identify sole traders personally. Please do not submit passwords, payment details, sensitive data, or unnecessary information about other people.
Submission is voluntary. Your name, email and website are needed to handle the request; the objective note is optional.
Purposes and lawful basis
We use your information to organise and assess your request, review the public website you specify, prepare initial recommendations, and communicate with you about that request. We also use proportionate validation, de-duplication and anti-spam measures to keep the service reliable.
For business enquiries, we rely on our legitimate interests in responding to requests, providing a requested initial review, and operating a reliable enquiry service. Where an individual personally requests steps towards their contract with us, the relevant processing is based on taking those steps at their request.
Submitting this form does not subscribe you to a newsletter or marketing list, does not sign you up to a paid service or ongoing monitoring, and does not automatically submit anything to the AEO Pulse Labs Grader.
Access, AI and internal notification
Requests are kept in a restricted internal archive handled by authorised mCm personnel and the NewYorker AI assistant. AI assists with triage, observations about the public site, and initial recommendations. Manuel controls further-service decisions and communications with prospects; no solely automated decisions with legal or similarly significant effects are made in this workflow.
A saved request can trigger an internal email to info@mcmdesignlondon.co.uk containing a record reference and a link to the restricted internal archive — not your personal details or objective. No automatic email is sent to you as a prospect.
Base44 hosts the form, stores requests and operates the AI assistant. Base44 infrastructure and AI providers may process information in providing these services. The internal email also involves the agency’s sending service and the recipient mailbox provider.
Base44 policy
Our workspace is on the Elite plan. Base44’s published documentation says workspace data on non-Enterprise plans can be used for AI model training, including personal information submitted through app forms. We do not promise training exclusion.

International processing
Information handled through Base44 may be stored or processed outside the UK, including in the US. Storage region does not determine all processing regions.
Published provider information describes international processing and transfer mechanisms where applicable, and applicable terms and the data processing agreement set out the provider’s arrangements. Contact info@mcmdesignlondon.co.uk for information about arrangements and safeguards relevant to a request and to obtain a copy.
We give no UK-only, standard-contractual-clause or adequacy guarantees beyond the actual evidence available.
Retention
We retain information only as reasonably needed for the review and related follow-up, or for applicable record-keeping or legal obligations. What that means depends on whether the request remains active, whether further support is requested, and the need to explain or resolve how a request was handled.
We review closed requests to delete or minimise unnecessary information. If a prospect becomes a client, their records are managed separately as client records. We make no promise about deletion from provider backups within a fixed period.
Your rights
Depending on the circumstances and the basis of processing, you have rights to access, correction, erasure, restriction and, where applicable, portability of your information.
You also have the right to object to processing based on legitimate interests. If you object, we will stop that processing unless we can show compelling grounds that override your interests.
To exercise any right, contact info@mcmdesignlondon.co.uk. We may need to verify your identity and will explain any relevant limits. You can also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.
